Common Process
(for Visio files that don't use hyperlinks)
- Save Visio file from the InHouse web site to your desktop.
- Open the file in Visio.
- Make your edits to the org chart.
- Save the org chart back to your desktop in Visio format.
- Save the org chart back to your desktop in Graphics
Interchange Format (*.gif)
- In InHouse, edit the Full Story of your content.
- Select the org chart your want to replace, right-click, and
select Picture.
- Select the new org chart you just created from your desktop.
- Preview the content and make adjustments until you are happy
with the layout.
- Once everything is in good shape, Replace the old Visio file
on the Attachments tab with your modified Visio file from your
desktop so the next time you have edits, you will have an
up-to-date Visio file.
Please be aware that the width of the org chart can only be as
wide as the width of the area you have on the web page for
content. So keep it as narrow as possible.
Advanced Process
(for Visio files that have embedded
hyperlinks)
Using InHouse
- Create an InHouse article and save it for each org chart
page that you want to be available on the web site. Key fields
to fill out are:
- Heading (name of org chart)
- Categories (put in Org Chart category)
- Repeat step 1 for each org chart.
Using Visio
- Open an org chart Visio file.
- Pull down the File menu and select Properties.
- In the Hyperlink base: field, put a blank space.
- Hyperlink each appropriate element in the org chart. If
the hyperlink should go to another org chart, go to the
Content List screen in InHouse and click the Preview icon to the left
of the article you want to hyperlink to. The URL in the
address bar of the browser is the URL you want to use in the
Address field of Visio’s hyperlink option window.
- In the File menu of Visio, select Save as Web Page…
- In the Save As window, click Publish.
- In the Save As Web Page window, uncheck any options
under Choose Functionality.
- In the Save As Web Page window, uncheck Open web page in
browser.
- In the Save As Web Page window, click Format Options.
- In the Format Options window, select GIF as the
Primary
output type and click OK.
- In the Save As Web Page window, click Appearance.
- Select 640x480 under Screen size and click
OK.
Using your local hard drive
- This last previous step will create HTML and GIF files
on your local hard drive. Locate these files.
- Locate the file called xyz _gif_1.htm. Also locate the
file called xyz_gif_1.gif which will be needed in a couple
of steps. The “xyz” part is based on the file name you
used to name the Visio file.
- Open this file in an editor that can view the HTML
source of the htm file (i.e., notepad, FrontPage,
DreamWeaver).
- Copy everything from the starting <MAP> tag and
through to the closing </MAP> tag into your clipboard (including the tags themselves). This will be needed in a couple of
steps.
Using InHouse
- Go to the Full Story window of the org chart InHouse
article that you are currently working on in Visio.
- Click the Picture icon in the toolbar of the Full
Story editor. It is a yellow button with some landscape
imagery in it.
- In the Picture Properties window, click Select New
File.
- In the Media Upload window, click Browse
and locate
the xyz_gif_1.gif.
- Click OK until you are back to the Full Story
editing window. The org chart GIF should now be visible
in the window.
- Right-click in this window and select View as HTML.
- Paste your clipboard into this window.
- Add an attribute to the IMG tag called USEMAP:

- Save the article.
Repeat
- Repeat all steps from "Using Visio" down for each
Visio document.
